Job description


Overall responsibilities:

  • Undertake supervision of City Management projects by:
  • Initiate and oversee departmental procurement by ensuring end-to-end approvals are done on time.
  • Preparing, consolidating, and submitting reports on all departmental workstreams to the Head of City Management on a weekly basis (or whichever frequency whenever required).
  • Attend and contribute to policy formulation meetings as may be necessary.
  • Coordinate departmental meetings and policy implementation programs and ensure proper documentation of meeting minutes, notes, and communications.
  • Provide seamless coordination between the various subdivisions of city management- landscaping, waste management, security and facilities and asset maintenance
  • Ensure all departmental contracts are in place and all works that require contracts have the same executed
  • Work with the Head of City Management and the team to ensure the development and diversification of City Management revenue generation streams.
  • Manage stakeholder relationships with contractors, vendors, and suppliers within the City Management department.
  • Ensure coordinated and seamless departmental communications both internally and externally.
  • Work with the Head of City Management and the City Services Credit Controller to develop City management budget, apportionment of service charges and tracking of expenses across various City Management workstreams.
  • Maintain and regularly update a departmental risk register, stakeholder register and client feedback register.
  • Develop and maintain internal and external client management charters and procedures.
  • Attend site meetings as may be necessary to assess adherence to ManCo processes and ensure quality control.
  • Perform any other tasks as assigned by the line manager.


Hard skills and experience:

  • Educational background in Construction Management, Real Estate, Project Management or any other field in the built environment
  • At least 4 years’ experience in the built environment, having worked in facilities management and project management
  • Strong working knowledge of Microsoft Office, proficient with Ms Project and other planning software
  • Experience in facilities management and large-scale real estate projects is required
  • Certification in CAPM will be an added advantage
  • Excellent client-facing and internal communication skills
